Excel spreadsheet is a very powerful and useful tool - simple, gives us a lot of functions, supports “what if” analysis and download data from external applications.
So, why it is a problem?
Nowadays almost all companies have more or less developed transactions systems ERP/CRM. Thus management has a lot of historical data. Using that massive data for management by targets, projects management, negotiations and decision making process about the future is difficult and challenging for companies. Why? There are useful and well implemented systems gathering historical data all across the business but for budgeting and planning purpose the spreadsheets are involved. Those spreadsheets:

• are not able to import evidence data from several systems automatically,
• gather all budgeting date and in fact are not a data base,
• are very good tools for budgeting bottom-up, but do not support top-down methods.

The research shows that most of the controllers work time is consumed by collecting and validating data and only little time remains for analysis. Moreover, increasing market competition and customer’s expectations, globalisation, growing or fast changing organization’s business structures enforce faster and more detailed budgeting and planning. Consequently budgeting with  spreadsheets becomes a bottleneck and reveals considerable limitations.

Could it be changed?
Implementation of modern budgeting system can meet above mentioned expectations and solve a lot of problems with, e.g:

• Consolidating data from several evidence systems (financial, marketing, operation, logistic, human recources) automatically
• consolidating spreadsheets into one budget in one data base
• budgeting by targets
• budgeting by projects
• changing costs centres or accounts
• versioning budgets
• prompt change of assumptions
• ... and much more

All that benefits will be presented based on case studies from already implemented projects. For your convenience one our customer, AXA Group will take part in our CPD meeting and will share experience about what and how new budgeting system has changed within company.

Presenters:
Przemysław Mastalerz: founder of RATIO, specializing in budgeting systems implementations, commercial partner and consultant of Controlling Systems. He has 12 years of experience in controlling. Previously worked in Polish Telecom, Alcatel, Macro Cash and Carry, Metro Cash and Carry International in Germany and Praktiker.

Paweł Musiał: Co-founder and Commercial Director of Controlling Systems. Since 2000 is working in information systems sector and since 2002 particularly in controlling area. Board Member of Koło Praktyków Controllingu ICV w Warszawie.

Jacek Kaczmarek: From above 10 year is working in financial industry in vary business areas. From 2 years in AXA Group as Information Management Manager. He is a lecturer in Akademia Leona Koźmińskiego, teaching in Business Intelligence field.
